The First Step
Prior to any document scanning process, documents need to be prepared where necessary for e.g de-stapling, un-binding, removing creases/folds etc. We use a range of high-speed, state of the art technology scanners to ensure the image and quality of the scanned documents are to the highest possible standards. Our document scanning services also includes Image Processing in which image cropping, de-skewing and filtering can be applied to any poor quality or ageing documents to enhance the image quality.
Document Preparation and De-Preparation
This refers to the anticipated work to remove staples and clips, fix dog-eared pages, attached notes to a single page that will feed through the scanner, and other tasks necessary to get them to be scan ready to feed through the scanner. De-Prep refers to any "reassembly" that has to be done after scanning...before the pages are returned to physical document storage.
Imaging (scanning)
The criteria considers consistent size, type, and mixed color of all the paper to be scanned and more uniform the documents....the faster and less costly the scanning process.
Indexing
Indexing refers to how many different fields are required to archive your document. How you group / arrange your documents for scanning, the number of fields and key strokes are required can have an enormous impact on you total scanning and imaging project cost.
Quality Assurance
QA is the frequency with which a scanned document is visually evaluated for quality and indexing accuracy. Random QC is periodic and based on our experience is susceptible to compromise with the variety of document types. 100% QC is a "hands on" visual verification of very scanned image. Our approach to quality is quite simple yet, different from other vendors who focus on scanning quantity rather than quality and integrity of each image.
Scanning Formats
Documents can be scanned in various formats, depending on your requirements, we can advise you on the most suitable solution for your needs. Following are the industry standard formats being used for scanning:
Storage Media
Once the conversion process is completed, the final step is to archive the data onto the most suitable media required. This can be a CD-R, DVD, Hard drive, File servers (central location) or even the Internet.
